About the Role
We are seeking a highly organized and self-motivated Accounting & Operations Specialist to oversee core accounting functions and support ongoing business growth. This position offers variety, autonomy, and meaningful impact within a tight-knit team. Key Responsibilities
Accounts Receivable & Payable
- Process customer payments, prepare deposits, and record transactions
- Maintain documentation for receivables, payables, and financial records
- Enter and review vendor invoices, verify accuracy, and process timely payments
- Perform collections activities and manage customer credit reviews
Payroll & Employee Support
- Process bi-weekly payroll and complete tax deposits and quarterly filings
- Maintain employee records, timekeeping, PTO tracking, and benefits documentation
Month-End, Reporting & Compliance
- Reconcile bank accounts and prepare supporting schedules
- Generate monthly financial statements and analyze general ledger activity
- Prepare sales tax filings (monthly, quarterly, annual)
- Assist with month-end and year-end reporting and checklists
Inventory & Pricing Support
- Maintain accurate inventory records and reconcile counts
- Support pricing updates, margin reviews, and product pricing materials
Other Responsibilities
- Assist in preparing annual budgets and analyzing variances
- Coordinate with internal and external partners (insurance, benefits, etc.)
- Maintain internal controls and ensure compliance with financial policies
Requirements
- 2+ years of accounting experience
- Experience with payroll processing is ideal (bi-weekly payroll, tax deposits, quarterly filings)
- Experience with sales tax preparation and filing is ideal (monthly, quarterly, annual)
- Ability to work independently, take initiative, and manage multiple priorities
- Proficiency with Excel and general comfort with accounting systems (Sage 50 experience is a plus)
- Comfortable working in a fast-paced small-business environment

Salary: $60,000-$80,000 (Direct Hire)
Schedule: Monday-Friday, 8-5 (flexible start/end times)
Work Environment: Onsite (ideally); with the possibility of a hybrid schedule
